Overview
External Dispatch Profiles manage your address book for outbound bond-to-bond wine and case goods movements. Configure external locations with client names, bond numbers, and addresses to pre-fill Bills of Lading for transfers leaving your premises.
External Dispatch Profiles
Add a new external location
To record outbound bond-to-bond movements to a new location, add it to your external dispatch address book. This action enables automatic population of Bill of Lading (BOL) forms with destination details. Navigate to the "External Dispatch Profiles" page within your account settings. Complete the "Add new external location" form with the Location name, Bond number, Bond name (optional), Address, City, State, Postal code, and Country for the external destination. Select "Add location" to save the new profile.

Setting up external locations ensures all bond and address details populate automatically when you create a Bill of Lading, saving time and improving accuracy.
Edit an existing external location
To update the details of a saved external location, modify its bond information, address, or name. This maintains the accuracy of your external dispatch profiles. Access the "External Dispatch Profiles" page within your account settings. Locate the external location you need to modify from the list of "External Locations". Select the "Edit" option next to the desired location. Adjust the necessary fields, such as Location name, Bond number, Bond name (optional), Address, City, State, Postal code, or Country. Save your changes to update the location's profile.
Delete an external location
To remove an external location that is no longer in use, clean up your list of external dispatch profiles by deleting outdated or incorrect entries. Access the "External Dispatch Profiles" page within your account settings. Locate the external location you want to remove from the list of "External Locations". Select the "Delete" option next to the chosen location. Confirm the deletion to permanently remove the profile.

Initiate an external dispatch
To begin recording an outbound bond-to-bond movement of wine, open the "External Dispatch" modal. This prepares you to enter all necessary details for the transfer. From the relevant section, such as a lot summary or inventory view, select the option to perform an external dispatch. This action opens the "External Dispatch" modal.
Specify transfer details
To provide all necessary information for an external wine transfer, define the specifics of the dispatch. This ensures accurate documentation by including the lot, volume, vessels, dates, quantities, dispatch type, and both origin and destination details. Within the "External Dispatch" modal, fill in the Lot, Volume, Vessels, Date, and Quantity fields to describe the wine being moved. Choose the appropriate Dispatch type, such as 'Transfer In Bond'. Enter the From location details, including Bond, Address, City, State, Postal code, and Country. For the To location, select an existing profile from your "External Dispatch Profiles" to automatically populate the Bond number, Bond name, Address, City, State, Postal code, and Country. Alternatively, manually enter these details for a new destination. Add any Custom tags and carrier info as needed. Determine what information to Include in the bill of lading by selecting checkboxes for Measurements and Additives, and choosing a Composition option (None, Summary, or Full).
Record dispatch information
To finalize and save the details of an external wine dispatch, formally log the outbound bond-to-bond movement. This creates a permanent record and generates the necessary documentation, such as a Bill of Lading. After accurately specifying all transfer details in the "External Dispatch" modal, select the "Record" button. This action saves the dispatch information and completes the transfer process.
