Writing Work Orders

Overview

Work orders are made up of two parts: details, which define administrative controls, and steps, which outline the tasks to be completed.

This guide covers how to create work orders, including:

Starting a Work Order

You can start a work order from either the Production or the Work Order sections of Blended. From Production, the view will be a side window, similar to an online shopping cart. From the Work Order section, it will be a full-screen view.

If you plan to leverage your protocols to help you write Work Orders, we recommend the side window view. This view will allow you to continue to view Production and use the protocol icons to transfer tasks into the work order. Refer to the Work Order Protocol section for more information.

From Production

Use the orange 'Create' button and select 'Work Order. This will open up a side window that allows you to build a work order while continuing to view the Production dashboard.

From Work Orders

From the Work Order section, use the orange 'Create' button and select 'Work Order'. You will also have the ability to start a Template or start a work order from a template.

Work Order Controls

Work order controls are located at the top of the work order, labeled "Details." All work orders are assigned a sequential number, using the format WO-###.

Depending on the work order view, details will look like one of the images below. The first image is the Cart View, the second image is the Full Screen View.

The controls available are as follows:

  • Summary: The title of the work order. The summary is what will be displayed as the name of the work order in print versions and digital dashboards. We recommend a descriptive name.

  • Priority: Priority is only available as a control within the Full Screen view. Set 'High', 'Standing', or 'None' as priorities. Priorities are designed to communicate which work orders should be completed first when multiple are scheduled for the same day.

  • Needs Review (Eye icon): Review is an approval workflow where digitally completed work orders would require a manager's approval step before any data is officially recorded in Blended. Data in this pending state would still be displayed throughout Blended, but would be accompanied by a provisional icon.

The review feature provides oversight for work order data entry, especially for less experienced team members. Admin have access to a review queue, where pending work orders can be reviewed and approved quickly.

  • Due Date: In the calendar view, work orders are scheduled based on their due date, which defines the day they should be completed.

  • Assignees: Assign work orders to one or multiple users within Blended. Only users assigned a work order can complete it.

  • Vessel Details Worksheet: The Vessel Details worksheet is a supplementary document available in print view. It displays a gridded layout, with rows representing individual vessels and columns representing the steps within the work order. An example is below.

The Vessel Details worksheet is designed to support cellar work that involves managing individual vessels.

Schedule

Use the 'Schedule' button when the work order is completed to indicate it is ready to be completed. Refer to the Work Order Status section for more information on statuses.

Work Order Steps

A work order consists of one or more steps. Each step represents a single type of job—for example, an addition or a measurement—and lots are assigned on a step-by-step basis. Each step is independent of the others within the work order.

Use the 'Add Step' to add a single step or the 'Add Template' to add an existing template of one or more steps to the Work Order. Refer to the Template section of the guide for more information on setting up templates.

Types of Steps

Steps are similar to their direct data entry counterparts. Refer to "Recording Data Directly" or "Advanced Winemaking Operations" for more information on individual steps.

Each step can have a custom name within the Step Name field. When printed, the Step Name will appear as a header for each individual step.

  • No Action: No Action is used for work unrelated to a specific Lot. This step type is unique in that it does not record an event against a Lot. Use this for jobs such as tank cleaning, where work needs to be assigned but isn't specific to a Lot.

  • Action: Action steps are operational actions such as destemming, sorting, or pumping over. Action steps can include custom actions. Action steps record a completion event.

  • Addition: Addition steps are used to record the addition of additives. Choose a product category and product. Addition steps include the calculator to help calculate how much of an additive to add. If you are printing the work order, we recommend specifying an Amount rather than using the calculator.

  • Bottling: Use the bottling step for bottling. Use the instructions field to denote the packaging materials to use.

  • Combine: Combine is used for blending operations. When specifying the destination vessel(s) for the resulting blend, users can either define individual vessels or leave the choice to the person completing the work order.

  • Loss/Adjustment: Use Loss/Adjustment steps for volume changes to a Lot outside of a movement event.

  • Measurement: Measurement steps are used to capture data, such as chemistry results. Within a single step, users can select one or multiple measurements. All lots included in the step will be assigned to every measurement defined in that step.

  • Press/Split/Saignee: All of these steps are variations on a split movement. Use the appropriate step type and define the splits, along with their associated outcomes and/or vessels. Users do not need to specify a volume, and any volume specified serves as a guide for the person completing the work order.

  • Topping: The topping step is used for topping. Users define which topping lots are to be used and in which priority. Users can call for multiple Lots to be topped within a single step.

  • Transfer: The transfer step involves moving from one vessel/vessel group to another. Users can define the destination vessel or group, or leave that to the person completing the work order.

Lot Selection

Each step includes a Lot selection field that specifies which lots are involved. The step will apply to every lot listed in this field.

Lots included in a work order can vary from step to step.

Instructions

Each step has an instructions button located in the bottom right corner of the step. Instructions are step-specific and will be displayed individually within each step. Clicking on the instructions button will open a free text box with no character limit.
