Overview
Blended uses an Archive track of Lots that are no longer active. Lots will be archived when they no longer have volume or when they are removed from the premises. See the Navigation section to learn more about searching for archived Lots.
This section will cover how and when to archive or unarchive Lots.
Archiving a Lot will archive the entire Lot. If you are only archiving a portion, use the Split operation to isolate the volume that is being removed from the premises.
Changing Archive or Unarchive Status
Lots are archived when they are no longer active on the premises, meaning they have either been removed or have no volume. Blended has auto-archiving logic to clean up inactive lots when they are blended away. There may be times when inventory adjustments warrant manually archiving a lot.
When a lot is in an archived state, its event stream is locked, and users cannot record winemaking events against it. If you need to update the event stream or correct an error, first unarchive the lot, which will enable you to edit or record events.
Costs can be recorded against Lots regardless of status. Refer to the Cost section for more details.
When reading a Lot's event stream, its status is determined by the last archive or unarchive event that occurred. Refer to the timestamps of the events if you are having trouble with a Lot's status and reorder them if you find that it does not reflect what you intended.
Manual Archiving/Unarchiving Process
Select Lot for Archiving
Navigate to the Production
section in Blended. Locate the lot you wish to archive in the table. Use the checkbox to select the Lot(s) you wish to work with. From the table menu, find the Other dropdown and choose Archive/Unarchive Lot.
Archive Modal
Date
In the archiving modal, use the Effective Date
field to select the date the archive should take effect. Ensure the date reflects the actual date of removal from inventory. The clock icon will allow you to set a specific time. If you have multiple events on the same date, use the time setting to ensure the archive time is set last.
Reason Code
Next, select the appropriate reason code from the Reason
dropdown in the archiving modal. Each reason code corresponds to a 'removed from bonded premise' option on the TTB 5120.17 report. See the supported reason codes below:
Bottled: Blended recommends using the Bottling workflow (refer to Advanced Winemaking for more details) rather than a direct archive. However, archiving under this reason code will remove volume through Part I, Section A, Line 13.
Destroyed: This code is used when bulk wine is destroyed in accordance with the TTB-approved process. Volume archived under this code will be removed through Part I, Section A, Line 28.
Removed for Distilling: This code is used when bulk wine is removed from the winery's bonded premises and transported to a DSP for the purpose of distilling. Volume archived under this code will be removed through Part I, Section A, Line 16.
Removed for Export: This code is used when untaxpaid bulk wine is removed from the winery's bonded premises and exported from the US. Volume archived under this code will be removed through Part I, Section A, Line 26.
Removed for Vinegar: This code is used when bulk wine is removed from the winery's bonded premises for the purposes of vinegar production. Volume archived under this code will be removed through Part I, Section A, Line 17.
Removed Tax Paid: This code is used when bulk wine is removed from in-bond inventory by paying taxes. Volume archived under this code will be removed through Part I, Section A, Line 14.
Transfer in Bond: For Bond-to-Bond transfers, we recommend using the Dispatch Out workflow so that a BOL is generated. Refer to the Advanced Winemaking Section for more details. This code is used when untaxpaid bulk wine is shipped to another licensed winery. Volume archived under this code will be removed through Part I, Section A, Line 15.
Other: This code should ONLY be used for testing or mistake correction. Using this code will archive the Lot, but won't remove the volume from the TTB report within the reporting period. The volume will be removed from subsequent periods that start following the archive date.
Follow the archiving steps and choose the option "Transfer In Bond."
