Tori’s Tips: Post-harvest Workflows

The most wonderful time of the year is winding down! You finally have a moment to catch your breath and catch up on some data review. Maybe you’ve found a few errors that need to be revised or maybe a little bit of reconciliation to do, whatever it may be, let's walk through a few post-harvest clean-up points we commonly come across. 

Fixing lot source mistakes

  • Incorrect composition detail: You’ve created your wine lot, only to realize that in the rush of harvest, some data was entered incorrectly, and your composition is off. Luckily, this is an easy fix that only takes a few steps in Blended.

    • Click into the wine that needs a detail fixed. From this lot overview page go into the composition tab. On the composition tab, scroll down to the “Sources” section. This table will contain all Lot Sources that are connected to the current blend of the Lot. Find the Lot Source with the incorrect data and click on it.  

  • Lot Sources must be in an active state in order to make changes. Start by unarchiving the intake to make the details editable by hitting the unarchive button on the right-hand side. Now that the intake is unarchived, you are able to edit any of the incorrect information. You will have the ability to edit all of the information on the intake form. This includes the weight if you need to edit how much fruit was received.

  • Once you are done updating the information, you can hit save and then re-archive the intake.

  • Now your information will be correct for your wine lot!

  • Tori’s Tip: If you adjust the weight on the intake, the system will give you an option to void and reprint your weigh tag

Fixing common mistakes

  • Incorrect gallons during lot creation: Accidentally entered the wrong volume per ton for your fruit? No problem, this can quickly be fixed with a volume adjustment.

    • From the production page, select the check box next to the lot that you created that has the incorrect volume, then from the operations drop-down menu select “Loss/Adjustment”. From this loss/adjustment screen, enter the correct volume of the lot and select your change reason, then hit record.

  • Tori’s Tip: When performing a loss or adjustment operation, double-check which adjustment type you’ve selected. Use “New Volume” to enter the total correct volume, “Loss” to record the amount of a specific loss, and “Adjustment” to log a specific increase in gallons or liters.

  • Incorrect addition or measurement: You’re reviewing your lot and notice something doesn’t add up—maybe you entered the wrong units, used the incorrect addition rate, or logged an inaccurate measurement. Whatever happened, fixing it is quick and easy in Blended!

    •  Go into the lot overview page and from the summary tab scroll down to the events table. Hit the edit button on the right hand side of the table. Now you will have all of your different events spread out onto their own line and editable. Hit the pencil icon and correct the wrong information on the event, hit save and see the data correct.

  • Tori’s Tip: Additions, measurements, and loss/adjustment operations are fully editable events and will have a pencil icon option to edit. If an event, like a split or topping, does not have a pencil icon, you can just hit the trash can icon to delete the event and then re-enter with the correct details. 

Adding Fruit cost

  • As you enter this vintage’s fruit, Blended automatically keeps a separate list in your Cost section so you can easily match intakes with costs when it’s time to reconcile.

  • Go to the Cost section of your system and open the Unpriced Items tab. In the top “Unpriced” section, set the dropdown option to Lot Sources. You’ll now see a list of this season’s intakes that still need costs entered.

  • Check the box next to the intake you want to price, then click Add Cost. In the window that appears, backdate to the correct date and enter the total cost of the intake. Once you hit Save, that line item will automatically move from the Unpriced list to the Priced Items tab.

  • If you need to delete or edit the cost you can find it in the priced items tab. Select the line item and hit either edit or delete. If you delete the cost item it will move it back onto your unpriced items list.

  • Tori’s Tip: Cost can also be entered into the system via a simple csv import if you have a lot of intakes to reconcile. Here is the correct format for the import which can also be found in our CSV Import user guide.

Reporting

  • Want to see how much fruit you’ve brought in this vintage? Just head to the Archive in your Intake section. You’ll get a clear view of everything received throughout harvest, with flexible headers that let you customize the report to fit your needs.

    • From the production page go into your processing tab to get to your intake section. On this page hit your file folder icon on the right hand side to find all of the intakes that have archived after being used up. Use your “vintage” header to filter out any intakes from the previous year.

  • Now you’ll see only the intakes from your selected vintage. From here, you can filter further using the other headers to view specific varieties or vineyards.

  • If you’d like to adjust what’s displayed, click the gear icon on the right-hand side to add or remove headers. Once your view is set, you can easily export the report as a PDF or CSV by clicking the printer or download icons.
