Write a Work Order

Overview

Access and create work orders using either the Production menu or the dedicated Work Orders section. The Production menu offers integration with production protocols, while the Work Orders section provides a full-screen interface and template options.

Create Work Orders in Production

Click Create

To access work orders through the Production menu, first navigate to the Production section from the sidebar.

Click the Create button located at the top right corner of the screen. This will open a dropdown menu, where you can then click Work Order.

From the Work Order menu, you will be presented with a list of work order drafts with the ability to create a New Work Order or a New Template.

After clicking + New Work Order from the Select a Work Order menu, you will be presented with the New Work Order modal.

Work Order Controls

There are a series of controls for individual work orders.

Across the top of the side panel you will see three icons:

  • The hamburger menu allows you to convert work orders to templates or drafts

  • The expand icon will move you from the side panel to a full screen mode

  • Closing the side panel will revert you to standard data entry mode

Individual work orders also have specific controls:

  • Set the due date by selecting a date

  • Mark if a review is required using the eye icon

  • Assign the work order to one or more Blended Users

  • Choose the lot or lots that the action within the work order applies to

Adding Steps to Work Orders

There are several ways to add actions to work orders.

If you are using the side panel from Production, you can add steps automatically via the Operational Icons linked to your production protocols.

You can also add steps directly using the Steps dropdown. Select the type of action you'd like to add and save the step.

Finally, if you have templates saved, you can add any template to a draft work order. This enables you to quickly add individual steps or groups of steps depending on the templates you've built.

Instructions can be added for any step within the work order. Choose the Add Instructions button to open up a text editor.

Templates

We highly recommend using templates if you plan on writing work orders regularly. Templates can be a single step or a series of steps that can be inserted into a new work order as a group. You can also combine any number of templates together into a single work order.

Note that the work order cannot be scheduled until you add assignees and at least one step.

Keep in Mind: All steps will apply to all Lots on a Work Order

All steps in the work order will apply to all lots. The assignee completes each step after performing the tasks.

No Action Step

A No Action is a unique step that is only available within Work Orders. This step enables you to generate a completable step for the recipient of the work order that doesn't specifically relate to the wine Lot on the work order.

For example, no action steps could be generic instructions on completing work orders, or it could be a task to clean a tank or set of barrels. Completing no action steps do not show up on the Lot's history so the only record of it will be within the work order.

Using the Dedicated Work Orders Section

To access work orders from the dedicated Work Orders section, navigate via the sidebar's main navigation. Click on Work Orders to open a list where you can view, create, or manage work orders.

Using the full-screen version offers several advantages. It provides more space to view and manage your tasks, making it easier to use templates and handle complex work orders. This can help you streamline your workflow,

To add assignees, click the Assignees dropdown menu and select the appropriate team members responsible for completing the tasks. Setting a due date can be done by clicking the No Due Date button and choosing a date from the calendar.

The Lots dropdown allows you to select which lot or multiple lots the work order actions apply to. This is useful for specifying the exact areas of production the work order should impact.

After assigning team members, setting a due date, and selecting lots, you must add at least one step to proceed with scheduling the work order. Click the Add Step button to include specific tasks or operations that need to be performed.

It's important to complete these steps, as the Schedule button will remain disabled until all required information is added. Once everything is set, you can create and manage your work orders efficiently.

Save Your Changes

Ensure you save your changes, or they will not be retained.

Frequently Asked Questions

  • To add steps, click the Add Step button on the Work Order Creation screen. You can enter the details for each step and assign them as needed.

  • The Review Required option, represented by an eye icon, means that someone needs to review the completed work order before it becomes official data within Blended.

  • To use templates, access the Work Orders section from the sidebar, click the Create button at the top right, and select a template from the options provided.

  • You can switch to full-screen view by clicking the full-screen toggle icon in the Work Order Creation screen or by using the Expand button in the work order modal.
