Managing Work Orders

Work Order Statuses

Draft status is the initial stage of a work order. You are working on defining the details. You can edit and change everything in this stage. When you are ready, you can move it to the next stage by clicking the Schedule button in the top right corner.

When a work order is in the Scheduled status, it is ready to be executed. The assigned person will see it in their work orders queue when they log in and click Work Orders. You can start the work order by selecting it and clicking the Start button next to the work order.

In Progress status indicates that the work order has started. The involved person will follow the listed steps, entering the necessary data and clicking Record when each step is complete. Once all steps are finished, the work order can be marked as complete by clicking the Complete button at the top right corner.

When a work order reaches the Complete status, all the steps have been done, and all necessary data has been recorded. At this point, the work order can no longer be edited, but it can be reviewed and printed if needed.

Work Order Actions

When managing work orders in Blended, you can perform various actions such as Schedule, Start, Complete, Convert to Draft, Cancel, and Print. Below is a detailed explanation of when and how to use each action.

Schedule

When you have finished drafting a work order and it's ready to be executed, click the Schedule button at the top right corner. This action will change the work order’s status to 'Scheduled'. A scheduled work order will appear in the assignee’s work orders queue when they log in.

Start

To begin working on a scheduled work order, click the Start button located at the top right. This will change the work order’s status to 'In Progress' and allows the assignee to begin the task. The assignee can click the Start button after selecting the work order from their queue.

Complete

Once all steps of the work order are finished, click the Complete button at the top right. This action updates the status of the work order to 'Complete'. Make sure all required data is recorded for each step before completing the work order.

Convert to Draft

If you need to make changes to a scheduled or in-progress work order, use the Convert to Draft option found in the actions dropdown menu. This will revert the work order back to draft status, allowing you to edit details and steps. After making edits, you can schedule it again.

Cancel

To halt a work order that is no longer needed or should not be executed, select the Cancel option from the actions dropdown menu. A cancelled work order will no longer appear in the assignee's queue, and no further actions can be taken.

Print

If you need a physical copy of the work order, you can use the Print option from the actions dropdown menu. This can be useful for handing out work orders on paper, especially for tasks that need to be completed manually or in areas without digital access.

Creating a Work Order

To create a work order in Blended, first navigate to Work Orders and click the Create button at the top right corner of the screen. This will bring up a new work order form where you can set various details.

You can set the due date, assign a person responsible, select the lots the work order will apply to, and add various steps to the order. If you have pre-made templates, you can pull these into the work order to streamline the setup process.

After setting the details, click the Schedule button at the top right to finalize the work order. This action will mark the work order as scheduled, visible to the assigned person in their work orders queue.

Once the work order is scheduled, the next step is to start it. When the assigned person logs in and navigates to their Work Orders section, they will see the scheduled work order with a Start button at the top right.

Upon starting the work order, the status will change to 'In Progress.' The steps you set will be listed in the work order. The assigned person should complete each step in sequence, entering any necessary data and clicking Record to move to the next step.

When all steps are completed, click the Complete button at the top right to mark the work order as done. If needed, you can cancel, print, or convert the work order back to a draft using the hamburger menu (three dots) located at the top right.

Remember, each step in a work order applies to all selected lots. You cannot have different steps for different lots within the same work order.

Starting and Completing Work Orders

To start managing work orders in Blended, navigate to Work Orders and click the Create button at the top right corner. In the work order creation screen, you can set details such as dates, assign it to a person, select the lots it will apply to, and add steps. You can also pull templates into your work order if you have created them.

Once a work order is set up and saved as a draft, it remains in the draft status until you schedule it. To schedule the work order, click the Schedule button in the top right corner. After scheduling, the status changes to scheduled.

When the work order is scheduled, the assignee will see it in their work orders queue when they log in and click Orders. They will find a Start button at the top right corner of the work order screen. Once they start the work order, it moves to the in-progress state.

Work orders have sequential steps that the assignee must complete. For each step, the assignee needs to enter the necessary data and click Record to move on to the next step. After all steps are completed, the assignee can click the Complete button at the top right corner to mark the work order as finished.

Draft: You are working on the work order. Scheduled: The work order is ready to be started. The assignee will see this in their work order queue. In Progress: The work order has been started and is ongoing. Complete: The work order is finished.

Use the hamburger menu (three dots) located at the top to start, convert to draft, cancel, or print the work order. Printing allows you to hand out physical copies if needed.

When writing a work order, keep in mind that all steps will apply to all lots. The assignee must complete each step only after those steps have been performed.
